Excel 2016: Basic Customization

Objectives

To change the default location for saving files:

Choose:

File | Options | Save | Default File Location.

You should always save your files to your OneDrive so you can retrieve your files from anywhere. Enter: c:\users\xxxxx\OneDrive – Briar Cliff University

To change the time between backups:

Excel will make a backup of your work every 10 minutes by default. Change this to one minute so you never have to worry about losing more than a minute's worth of work. Choose:

File | Options | Save | Save Autorecover Information Every

Make sure the check box is on, and change the number of minutes to 1.

 

To change the default file format so users of older versions of Excel can read your files:

If you will be exchanging files with people who use an older version of Excel, you can make Excel always save your files in an older format. Choose:

File | Options | Save | Save Files in this format:

From the drop-down list, choose:

Excel 97-2003 Workbook (.xls)

NOTE: A better solution is to have the person using the old version of Excel go to Microsoft's web site and download an Excel add-in that allows older versions of Excel to read Excel 2016 files.

To change the size of the most recently-used file list:

Excel keeps track of your most recently-used files on the File menu. You can set this number to anything in the range 0-50 by doing the following:

File | Options | Advanced | Display | Show this number of recent documents

And enter the number that you want.

If the units on your ruler ever get changed from inches to centimeters or millimeters, this (fourth line above) is also where you can change this.

To change the direction the cursor moves after pressing the "Enter" key:

By default, Excel moves the cursor down to the next cell when you press the "Enter" key. However, there are times when you may be entering rows of data rather than columns of data and you want the cursor to move to the right instead of down (Excel also gives you the option of moving the cursor up or left, but those options are probably not used very often). To change the direction the cursor moves after pressing "Enter", select the following from the menu:

File | Options | Advanced | Editing Options | After pressing Enter, move selection

Enter the direction that you want.
