Excel 2019/365: File commands

Objectives

·        Learn how to create, open, save, print, and close Excel workbooks.

To achieve this result:

Do this:

Keyboard Shortcut

Create a new workbook

·        Click on the File Menu.

·        Then click on New.

·        Select the type of workbook you want.

<ctrl> + N

Open an existing workbook

·        Click on the File Menu.

·        Then click on Open.

·        Locate the folder the workbook is in.

<ctrl> + O

Print a workbook

·        Click on the File Menu.

·        Then click on Print.

<ctrl> + P

Save a workbook for the first time

·        Click on the File Menu.

·        Then click on Save.

·         You will be prompted to give a file name and location.

<ctrl> + S

Save a workbook that has been saved previously

·        Click on the File Menu.

·        Then click on Save.

·        Excel will save the file with its existing name (writing over the existing version of the file)

Save a workbook with a different name or in a different location

·        Click on the File Menu.

·        Then click on save As.

·        Find the folder you want to save the workbook in and save it.

 

Close a workbook (without saving)

·        Click on the File Menu.

·        Then click on Close. If you have not saved your changes, Excel will warn you.

<ctrl> + W

Email a workbook

·        Click on the File Menu.

·        Then click on Share.

·        Then click on Email.

·        Then click on Send as attachment.

 

Exit (quit) Excel:

The Exit command has been removed from the File menu as of Excel 2013. You can now only close one file at a time if you use the File menu.

To exit Excel, you can do one of the following:

·        Click on the "X" in the upper-right corner of the last open workbook. Note that you must close all other open workbooks before doing this!

·        Right-click on the Excel icon on the task bar and click on "Close all windows". If only one Excel file is open, it will say "Close window".
