Word 2013/2016: Editing text

Objectives

·         To learn common methods of editing text in Word.

Undo

This command is your best friend. To undo the last change: <Ctrl>+Z.

Repeat

To repeat the last command: <Ctrl>+Y.

Delete text commands

The Delete key and the Backspace key do NOT behave the same way!

·         To delete the character to the LEFT of the cursor:....................................................... <Backspace>

·         To delete the character to the RIGHT of the cursor:....................................................... <Delete>

Cut, copy, paste

You should know the keyboard shortcuts for Cut, Copy, and Paste, because they are universal. They work in almost all applications.

These keys are also next to each other on the keyboard.

Drag and drop

To "drag" text from its current location and "drop" it in a new location:

·         Select the text you want to move (either by using keyboard commands or dragging the mouse over it).

·         Then click on it and "drag" it to its new location.

Find and Replace

The "find and replace" command lets you make the same editing change in many places in your document. For example, suppose that you finish writing a document and realize that you had spelled the word "Kleen" as "Klein" all through the document. You can have Word find all occurrences of the word "Klein" and replace it with "Kleen". To invoke the "find and replace" command:

Ribbon:

·         Click on the Home tab.

·         In the Editing group (far right), click on Find.

Keyboard:

·         Type: <Ctrl>+F (for Find) or <Ctrl>+H (for Find/Replace)

·         The following dialog box will appear. Click on the Replace tab:

·         In the Find what text box, enter the text that is to be replaced.

·         In the Replace with text box, enter the new text.

·         To replace only the first occurrence (after the current cursor position), click on the Replace button. If you want to find subsequent occurrences of the word(s), click, on the Find Next button.

·         To replace all occurrences (after the current cursor position), click on the Replace All button.

You can also search for special characters by clicking on the More button, and then clicking on the Special button. You can then search for paragraph marks, tabs, etc. (see below).
